Badges
Participants should collect name badges from the conference registration desk. As only registered participants will be permitted to attend the scientific sessions, the exhibition and poster areas, you are required to wear your badge when entering and while remaining in the congress venue. Exhibitors will also receive badges to allow access to the appropriate areas.
Lost badges can be replaced at the registration desk. However, a handling fee of EURO 60.- will be charged.
Bank services – Money matters
​The following information is based on the average bank opening hours in Germany. There may, however, be differences from bank to bank. Banks are generally open:

Coffee breaks, lunches and the welcome reception will be held in the exhibition area of the conference. Exact times are listed in the programme overview.
Conference attendance
The Conference is only accessible to certified healthcare professionals, associated press, industry representatives and other stakeholders in the science, management and prevention of cancer. By registering, you accept that non-healthcare professionals, including children, will not be able to access the congress area. Attendance will be monitored via regular badge scans.

Electricity Supply
Electrical sockets (outlets) in Germany are one of the two European standard electrical socket types: The "Type C" Europlug and the "Type E" and "Type F" Schuko. If your appliance's plug doesn't match the shape of these sockets, you will need a travel plug adapter in order to plug in. Travel plug adapters simply change the shape of your appliance's plug to match whatever type of socket you need to plug into. If it's crucial to be able to plug in no matter what, bring an adapter for all three types.

GSM Cell Phone Roaming
GSM cell/mobile phone roaming is available without any problems for all major international providers. It is advisable to inquire beforehand or online at your provider which roaming company in Germany offers the cheapest tariffs.
Insurance
By registering for the ITOC Conference participants agree that neither the organising committee nor the congress office assume any liability whatsoever. Participants are requested to make their own arrangements for health and travel insurance. The conference fee does not include insurance.
Language
The official language of the congress will be English (no simultaneous translation).
Letter of Invitation
On request, the ITOC organizing office will be pleased to send letters of invitation to individual scientists. Invitations of this kind are intended to assist potential delegates to raise their travel funds or obtain visas. They do not imply any commitment or responsibility on behalf of the Congress to provide financial support. Please note that letters of invitation can only be sent after receipt of registration and payment of full registration fee. During the online registration process you will have the possibility to request a visa invitation letter. Please have your passport at hand to fill in all required details needed for the visa invitation letter. These include, but are not limited to, your passport number, date of issue and the issuing authority.
The letter of invitation does not financially obligate the congress organizers in any way. All expenses incurred in relation to the congress, the registration and the attendance are the sole responsibility of the delegate.
Passport & Visa
Please check passport and visa requirements in due time before your departure. Visas can take a while to be processed, so leave enough time before departure to apply.
It is the sole responsibility of the delegate to take care of his/her visa requirements. Delegates who require an entry visa must allow sufficient time for the application procedure. Delegates should contact the nearest German embassy or consulate to determine the appropriate timing of their visa applications.
Note: German embassies and consulates-general are independent decision-making agencies for visas, sometimes after specific checks have been made with other Schengen countries. You cannot appeal against the rejection of a visa application; neither can the ITOC organizing office intervene on your behalf in case of a rejection or to speed up the procedure.
Delegate registration details will be shared with the German immigration authorities on request to assist in the immigration process. However, the congress organizers and/or the ITOC registration department will not directly contact embassies and consulates on behalf of visa applicants.
The registration fee minus a handling fee of EUR 25.- will be refunded after the congress if the visa was applied for in time and proof is shown that a visa could not be granted even though all requested documents were submitted. Refund requests must be made in writing and sent to the ITOC registration department, by email, no later than January 15, 2020, after which requests for such refunds cannot be taken into consideration.

Pharmacies – Medical Emergencies
Pharmacies are mostly open on weekdays only, usually from 8 a.m. to 5 p.m. In larger towns opening hours may be longer.
At weekends and on public holidays pharmacies are closed. However, there is an exception – pharmacies situated within shopping centres stay open even on these days.
Photographs, video-streaming, etc.
The Organiser may without the further consent of the participants use and release pictures and videos taken during the Conference for reports of the Conference and/or in future marketing materials. By registering to this conference attendees agree that photographs or sound or video recordings taken during the conference that could include recognizable images or voices of those in attendance may be posted on the conference website. All recordings are treated sensitively and discreetly. Names will not be published. The Conference is held in a public space, therefore we do not prohibit participants, exhibitors, sponsors, or news organisations from photographing, video or audio-taping some Conference activities. The organiser reserves the right to use images taken at the Conference with your photograph and/or likeness on social media and/or in future marketing materials. The organiser is NOT responsible for individual attendee’s use of your image or likeness.
Safety – Crime
Use of common sense is (always) required, as in any large city. The central parts of cities are renowned for petty crime, (pickpocketing, scams or bag snatching) so be careful when sightseeing, taking pictures or watching street artists.
Shops
Shopping centres and department stores open 09:00 to 20:00, Saturday 09:00 – 18:00hrs. Small shops open 09:00 to 18:30, Saturday 09:00 – 12:00hrs. Shops in Munich usually are open Monday to Saturday.
Smoking Policy
The ITOC Conference is officially a “No-smoking-Conference”.
The ban on smoking in public places, including bars and restaurants, is now nationwide in Germany.
You can't smoke indoors at any bar or restaurant in Bavaria. In all states, even Bavaria, you usually can smoke outdoors; on terraces in beer gardens and sometimes even in tents.
